Introduction

This Data Privacy Policy describes Birnbaum Interpreting Services’ policies and procedures on the use of Your information when You use the Service and tells You about Your privacy rights and how the law protects You.

Overall, BIS uses very basic private information in our operations. We mainly use email addresses to provide service. Generally, we use email addresses to:

  1. correspond with Your teams and end-users

  2. connect with remote interpreters, captioners, and translators

  3. transmit transcripts and other information inherent to specific assignments and contracts

  4. register with third-party applications that facilitate remote service

Outside email addresses, BIS will at times store names and phone numbers to better facilitate communications with clients and end users. This data is NEVER shared with outside parties without both Your knowledge and consent.

BIS does not store usage, cookies and tracking, or any other sort of data outside basic information necessary to communicate and connect to our Service resource providers.

Interpretation and Definitions

Interpretation

The words of which the initial letter is capitalized have meanings defined under the following conditions. The following definitions shall have the same meaning regardless of whether they appear in singular or in plural.

The Company uses Personal Data for the following purposes:

  • To manage Your Account: to manage Your registration as a user of the Service. The Personal emails, for example, provide You access to different functionalities of the Service.

  • For the performance of a contract: the development, compliance and undertaking of the purchase contract for the products, items or services You have purchased or of any other contract with Us through the Service.

  • To contact You: To contact You by email, telephone calls, SMS, or other equivalent forms of electronic communication.

  • To manage Your requests: To attend and manage Your requests to Us.

The Company will retain Your Personal Data (i.e. email addresses or transcripts) only for as long as is necessary for the purposes set out in this Privacy Policy. We will retain and use Your Personal Data to the extent necessary to comply with our legal obligations (for example, if we are required to retain your data to comply with applicable laws), resolve disputes, and enforce our legal agreements and policies.

Transfer of Your Personal Data

Your information, including Personal Data (i.e. email addresses & transcripts), is processed at the Company's operating offices and in any other places where the parties involved in the processing are located. It means that this information may be transferred to — and maintained on — computers located outside of Your state, province, country or other governmental jurisdiction where the data protection laws may differ than those from Your jurisdiction.

Your consent to this Privacy Policy followed by Your submission of such information represents Your agreement to that transfer.

Our Service does not address anyone under the age of 13. We do not knowingly collect personally identifiable information from anyone under the age of 13. If You are a parent or guardian and You are aware that Your child has provided Us with Personal Data, please contact Us. If We become aware that We have collected Personal Data from anyone under the age of 13 without verification of parental consent, We take steps to remove that information from Our servers.

We have no control over and assume no responsibility for the content, privacy policies or practices of any third party sites or services.

We may update Our Privacy Policy from time to time. We will notify You of any changes by posting the new Privacy Policy on this page.

Data Privacy Details

BIS does NOT disclose Your data or information for the provision of Our Service. Furthermore, the only data We tend to collect are email addresses and, in the case of remote captioning, transcripts of Service assignments.

  1. Email Addresses: We collect email addresses at times to provide remote services. Emails are NEVER disclosed, shared, or stored on Our internal systems. BIS uses platforms that use Your email addresses to connect with remote interpreters or captioners. These addresses are used solely for the purposes of logging in and connecting with our service resources.

  2. Transcripts: As a captioning client, You may request that we provide transcripts of the assignment. BIS holds transcripts via email only for as long as they are required by You or any contract with Your institution. ALL transcripts are destroyed beyond this required period.

The only third-party applications We use are communications platforms used widely and on a daily basis across the world. Two major applications used for Our remote services include:

  1. StarLeaf: This application allows us to provide on-demand Video Remote Interpreting Services. To register for StarLeaf, we collect the email addresses of end-users.

  2. Streamtext: This application allows us to provide Remote Captioning & CART Services. We send Streamtext links to end-users via email to provide Service.

BIS also uses basic videoconferencing platforms such as Zoom, WebEx, or Google Hangouts. None of the communication data, such as usernames or chats, are stored or transmitted in any fashion unless expressly requested by You or Your entity.

RID & NCRA Codes of Professional Conduct

In addition to our limited use and storage of emails and transcripts, Our data privacy policy is further bolstered by the Code of Professional Conduct outlined by the following institutions:

  1. Sign language interpreting’s Registry of Interpreters for the Deaf & Hard of Hearing (RID)

  2. Captioning & CART’s National Court Reporter’s Association (NCRA)

The Codes of Professional Conduct for the RID and NCRA state, respectively, that:

  1. Interpreters adhere to standards of confidential communication.

  2. Captioners preserve the confidentiality and ensure the security of information, oral or written, entrusted to the Member.
